Members can only value what they can find.
A membership site lives or dies on whether members can find what they paid for. This is how to give them a library that is searchable, restricted to their membership level, and still manageable at 500 documents — and where the free/paid line honestly sits.
- 1
- Search that filters as they type
- A page of links is not a library. Fifty PDFs need search, not scrolling.
- 2
- Organisation they can browse
- Categories, filters and sortable columns, for when nobody knows the file name.
- 3
- Restriction that follows the account
- Not a shared password that leaks into a group chat.
01The trap
Hiding the page leaves the PDF exactly where it was.
Most plugins in this category do one of the three things well, and the gap between them is where paid content leaks.
File-manager plugins organise but do not restrict. Download managers restrict but bury search in a paid tier. Membership plugins restrict pages but leave the files themselves reachable at their direct URLs.
The last one matters more than people expect. If a file’s raw /wp-content/uploads/… URL still works when logged out, your paid content is one shared link away from public. FileDeck Pro moves restricted files into a deny-all vault and serves them through signed, expiring links, so the raw URL genuinely stops working.
02Wiring it up
Point FileDeck at the membership plans you already sell.
Your membership plugin already knows who has paid, so FileDeck asks it directly rather than making you keep a second list in step.
Membership plans
Tick the plan, not the personFileDeck reads plans from MemberPress, Paid Memberships Pro, WooCommerce Memberships, Restrict Content Pro and s2Member. Any other membership plugin can register itself with a filter.
Access follows the membership
When it lapses, the documents go with itThere is no second list to build, and no drift between who has paid and who can open the file.
Or restrict by role
A fine alternativeMost membership plugins assign a role per tier. A category restricted to that role tracks membership too. Use plans if your tiers do not map cleanly onto roles.
03A worked example
Three tiers, three sets of categories.
Restrict at the category level rather than per document, so adding a tier is one checkbox rather than five hundred.
| Membership tier | WordPress role | Document categories they see |
|---|---|---|
| Free subscribers | Subscriber | Starter guides |
| Standard members | Member (custom) | Starter guides · Monthly worksheets |
| Premium members | Premium (custom) | All categories, including Templates & Masterclasses |
04Setting it up
Restricted and searchable, in five steps.
The library, search, filters and the document count are free; the restriction half is Pro.
1
Install and upload
Add your files under Documents → Upload Documents, in bulk, straight from the Media Library.
2
Create a category per tier
Or per topic — categories can stack, so a document can sit in both.
3
Tick the plans that get in
On the category, under Client area — membership plans (Pro), or Restrict to roles if you would rather gate on roles. One setting covers every document in that category, including ones you add later.
4
Place the block
Add the Document Library block to your members page. Members get search-as-you-type, filters and sortable columns; visitors without the role see a padlock, or a blank space, whichever you prefer.
5
Test it logged out
Including pasting a file’s direct URL, with a wrong-role account as well as an anonymous one. That last check is the one people skip.
05At scale
What gives out at 100 documents, and what to do about it.
Three things usually break once you have several roles and a few hundred files.
Flat lists
Categories and the folder layoutA single long table stops being browsable. Categories plus the collapsible folder layout keep it navigable.
Slow pages
Server-side pagination, automaticallyFileDeck switches large libraries to server-side pagination on its own, so page one renders fast at 5,000 documents.
Permission sprawl
Restrict on the category, not the documentGate at the category level and a new tier is one checkbox change rather than five hundred edits.
06Findable, not just listed
Searching the text inside the files.
Title search is free and instant. The step up is searching what is written inside the documents.
FileDeck Pro extracts the text of PDF, Word and Excel files on your own server, so member documents stay on your site. A member searching “cancellation clause” finds the contract that contains it, not just files with those words in the title.
07The line
Where free stops and Pro starts, honestly.
Build the library free first. Restriction switches on later without changing anything you have already made.
- 07.1Free covers the public halfNo document limit, all four layouts, instant search, filters, download buttons and counts.
- 07.2Pro covers the members’ halfRole and plan restriction, the protected file vault, full-text search, client portals and the audit trail.
- 07.3$59 a year, one siteAnd the renewal is the same figure as the first year, set in the payment gateway rather than promised in copy.
08Before you go
Test it logged out before you call it protected.
The check that matters is not whether the page hides the link. It is whether the file’s own URL still returns the file to someone who is not logged in.
FileDeck Pro moves protected files into a deny-all directory and streams each download only after re-checking permission, so a restricted file has no working public URL by default.
09Questions
What people ask about members-only libraries.
How do I restrict documents by membership level?
Tick the membership plans on a document category. Holders of those plans get in, and access follows the membership — when it lapses, the documents go with it.
Can members search inside the files?
Yes, with Pro. The text of PDF, Word and Excel files is extracted on your own server and indexed, so a search for a phrase inside a contract finds the contract.
Does hiding the page protect the file?
No, and this is the common mistake. Hiding the page that lists a PDF leaves the PDF exactly where it was. The file needs to be moved out of the public uploads directory and served through an access check.
What happens at 500 documents?
Restrict at the category level rather than per document, use the folder layout for navigation, and let the automatic server-side pagination handle the page weight.
