01What it needs

What a good SDS library needs.

A safety data sheet is usually read by someone holding a product and a question: a customer’s safety officer, a distributor, a site manager, a first aider. These are the things that decide whether they find the right sheet quickly, and how FileDeck handles each.

Find it by what is on the label

Instant search and a Reference field · FreeThe library filters as people type, matching titles, categories, tags and file names. Put the product code or SDS number in the Reference number field and it is searchable too, partial codes included, and sortable as its own column.

Search inside the sheet

Full-text search · ProPro reads the text inside PDF, Word and OpenDocument files on your own server, so a CAS number or trade name printed inside a sheet finds it. Scanned sheets can be made searchable with optional OCR, which is off until you switch it on; files sent for OCR are processed and discarded rather than stored. How searching inside PDFs works.

Only the current revision

Replace the file, keep the link · FreeSheets get revised, and the reader needs the current one. Swap the file on the existing document and its page, download link and download count carry on; an Updated column can show when each sheet last changed. On Pro, earlier files are archived in version history for your team in wp-admin, while visitors get the current one.

A QR code for the label

One per document · FreeEach document’s edit screen has a Document QR code box with a Download PNG button, ready for a label, a drum or a poster. Scanning it opens the sheet’s page, which offers whichever file is current. A shortcode prints the same code on any page, drawn in the browser by a library bundled with the plugin rather than by an outside QR service.

In each language you supply

Tags and a tag filter · FreeSafety data sheets are commonly provided in several languages. Tag each sheet with its language and visitors narrow the list with the tag filter, or give each language its own page scoped to that tag. The library’s search box, filters and buttons ship translated into nine languages, including German, French, Spanish, Italian and Polish.

Checked on a schedule

Review cycles · ProGive your SDS categories a default review cycle of 3, 6, 12, 24 or 36 months (on each product-family sub-category you file sheets in). FileDeck tracks each sheet’s next review date and emails a reminder when one falls due, so checking your sheets against your suppliers’ latest versions runs from a calendar rather than from memory.

A record of what gets used

02Setting it up

An SDS library in six steps.

Steps one to four use the free plugin. Five and six are Pro, and you can add them later without rebuilding anything.

Create the categoryFree

Under Documents → Document Categories, add a Safety Data Sheets category. For a large range, add a child category per product family; each one becomes its own filter option and, in the folders layout, its own folder.

Upload the sheetsFree

Drop a batch of PDFs on Documents → Upload Documents (under Import & Export on Pro), with the category and a language tag set for the whole batch. Titles come from file names, so name files the way customers search. A sheet your supplier hosts can be linked by URL instead.

Add the product codesFree

Type each product code or SDS number into the Reference number field in the document’s File box. On Pro, the CSV import takes a reference column, so a spreadsheet listing each sheet and its code becomes documents in one pass.

Publish the libraryFree

Add the Document Library block to a page, or the shortcode [filedeck category="safety-data-sheets" columns="reference,title,tags,modified,link"]. There are four layouts — table, grid, gallery and folders — and the table suits a long list of codes. Full walkthrough.

Index the text insidePro

Open Documents → Settings → Search Index and rebuild after a large upload, so the text inside the sheets becomes searchable. If some sheets are scans, tick Enable OCR under Scanned OCR first.

Schedule the reviewsPro

Edit each category your sheets are filed in and pick a Default review cycle — set it on every product-family sub-category too, because a cycle on a parent does not reach documents filed only beneath it. The Review cycles screen lists the sheets soonest-due first with their next review dates, and Mark reviewed resets the clock once a sheet is confirmed current.

What people ask about SDS libraries.

How do I publish safety data sheets on a WordPress site?

Can a QR code on a product label link to its SDS?

Yes, in the free plugin. Each document’s edit screen has a QR code you can download as a PNG for printing. Scanning it opens the sheet’s page, and because replacing the file keeps that page, a printed code carries on working after the sheet is revised.

What happens to old links when a safety data sheet is revised?

Can customers search by product code or CAS number?

Product codes, yes, in the free plugin: put them in the Reference number field and they match in the library search, partial codes included. CAS numbers and other text printed inside a sheet need Pro’s full-text search, which reads PDF, Word and OpenDocument files on your own server. Scanned sheets also need OCR, which Pro includes and which stays off until you enable it.

Can we publish SDSs in several languages?

Yes. Tag each sheet with its language and visitors narrow the list with the tag filter, or give each language its own library scoped to that tag. Can we ask for an email address before an SDS download?

Yes, with Pro lead capture. It asks for a name and email before the download and stores each lead with the document it came from, with CSV export and an optional webhook. It is one switch for the whole site rather than per category, so it applies to every public download on the site, not only your safety data sheets.

Is an SDS library free with FileDeck?
