Privacy Policy

FileDeck (“we”, getfiledeck.com) collects as little personal data as possible. This policy explains what we collect on this website, why, and your rights over it.

Who is responsible

FileDeck is the data controller for this website. For any privacy question or request, email support@getfiledeck.com.

What we collect

  • Server logs — IP address and browser user-agent, kept briefly by our hosting provider for security and reliability.
  • Usage analytics — which pages are viewed, approximate (city-level) location, and device/browser type, via Google Analytics 4 and PostHog, so we can see what’s useful and improve the site. Analytics data is never used for advertising, we never sell your data, and no analytics are collected from logged-in administrators.
  • Advertising measurement — we advertise FileDeck in ChatGPT. To see whether those ads lead to sign-ups and sales, this site runs OpenAI’s ChatGPT Ads measurement pixel. It tells OpenAI when you open our checkout, buy a plan (the plan, the price and an order reference, never payment details), sign up for the free plan or click to download it from WordPress.org, together with a random reference for your browser and, if you arrived from a ChatGPT ad, a reference to that ad. If you type your email address into a form on this site, the pixel may also send OpenAI a one-way hashed (SHA-256) version of it to match a purchase to an ad click; your email address itself is not sent. As with any web request, OpenAI also receives your IP address and browser type. The pixel doesn’t run for logged-in administrators, and doesn’t load at all if your browser sends Global Privacy Control or Do Not Track.
  • Purchases and ChatGPT Ads — when you buy FileDeck, on this site or from inside your WordPress dashboard, our server sends OpenAI the plan, the price, an order reference, your country and a one-way hashed (SHA-256) version of the email address on the order, so OpenAI can tell us whether the purchase followed a ChatGPT ad. Your email address itself is not sent, and nothing is sent for renewals.

Legal basis

We rely on our legitimate interest in keeping the site secure, understanding how it’s used to improve it, and knowing whether our advertising works. You can object to analytics and advertising measurement at any time (see Your choices below).

Cookies

  • Functional cookies are set only where needed — for example, to remember that you unlocked a password-protected demo section. These are essential to that feature.
  • Google Analytics 4 sets its own cookies (such as _ga) to measure site usage.
  • PostHog, our product-analytics tool, is configured to be cookieless — it stores nothing on your device and honours your browser’s “Do Not Track” setting.
  • OpenAI’s ChatGPT Ads pixel sets two cookies: __oppref, which remembers the ChatGPT ad you clicked for 30 days (set only if you arrived from one), and __obref, a random browser reference kept for up to a year.

Where your data goes

Google Analytics processes data in the United States; PostHog processes it in the European Union. Advertising-measurement data goes to OpenAI, which runs ChatGPT Ads and may process it in the United States. OpenAI uses it as an independent controller under its own privacy policy, including to measure, deliver and improve its services. We do not share your data with anyone else, except our hosting and analytics providers acting on our behalf, or where required by law.

Your choices

You can block or delete cookies in your browser at any time, turn on “Do Not Track” (PostHog honours it) or Global Privacy Control (either one stops the ChatGPT Ads pixel loading at all), or install Google’s official GA opt-out browser add-on to stop GA4 measurement.

Your rights

Under UK GDPR you can ask us to access, correct, delete, or restrict use of your personal data, or object to it. Email support@getfiledeck.com and we’ll respond within one month. You can also complain to the UK Information Commissioner’s Office (ico.org.uk).

Retention

Server logs are kept briefly by our host. Analytics data is retained no longer than needed for the purposes above. OpenAI keeps advertising-measurement data under its own retention policy.
