How to create a searchable document library in WordPress Free & Pro
WordPress has no built-in document library. What core can and can't do, the ways to build one, and a step-by-step setup with a free plugin.

WordPress has no built-in document library. The Media Library stores your files, but visitors can’t browse or search it. You need three things: each file saved with a title and category, a page that lists them, and a search box that filters the list as visitors type. A document library plugin adds all three.
This guide covers what WordPress can do on its own, the main ways to build a library, and a step-by-step setup with FileDeck, a document library plugin with a free version on wordpress.org.
What can WordPress do on its own?
Core WordPress gives you building blocks, but not a library:
- The Media Library stores uploads and lets editors search them in wp-admin. It is an admin tool; visitors can’t browse it.
- The File block puts one file on a page as a link with an optional download button, and can show an inline preview of a PDF. Twenty files means twenty blocks, maintained by hand.
- A page of links. You can type a list or table of links into any page. It works until the list grows: there is no search, no sorting, and every new file means editing the page again.
WordPress’s own site search looks at post and page titles and content. It doesn’t read the text inside your PDFs, and core WordPress doesn’t record downloads at all — see how to track file downloads.
What are the ways to build a document library?

For a library visitors actually use, the plugin route scales best. Each file becomes a record with a category, tags, size and type, and the library page builds itself from those records. What should a document library plugin do?
Check for these before you choose one:
- Search as you type across titles, descriptions, categories and filenames — and, ideally, inside the files themselves.
- Filters and sorting: category and tag filters, and column headers that sort newest first, A–Z or by size.
- More than one layout: a table for policies and minutes, cards or thumbnails for brochures and newsletters, folders for deep category trees.
- Bulk upload, so adding 50 files isn’t 50 forms.
- File-level protection if any documents are private. Hiding a page doesn’t hide the files on it — see how to stop direct URL access to files.
- Download counts, which core WordPress doesn’t keep.

How to create a document library with FileDeck
Steps 1–5 use the free plugin. Step 6 is optional and needs Pro.
Step 1: Install FileDeck
Free — from the wordpress.org plugin directory.
Go to Plugins → Add Plugin, search for FileDeck, then click Install Now and Activate. FileDeck adds a Documents menu to wp-admin and creates a "Document Library" page for you. A three-step setup wizard offers to set your default layout and accent colour; you can skip it and change any of it later under Documents → Settings. Details: install and activate FileDeck.
Step 2: Add your documents
Free — there is no cap on the number of documents.
- One at a time: go to Documents → Add New Document, attach the file, check the title (it is pre-filled from the file) and publish. FileDeck records the file’s size, type and filename automatically. See add a document.
- In bulk: click Upload files at the top of the Documents list and drag in a batch. Each file becomes a published document titled from its filename, and you can apply one category and a set of tags to the whole batch. Rename files to clean, readable names first. See bulk upload.
- Files hosted elsewhere: a document can point at a Google Drive, Dropbox, OneDrive, SharePoint or S3 link instead of an upload. See external files.

Step 3: Organise with categories and tags
Free
Go to Documents → Document Categories and create categories such as Forms, Policies and Minutes. Categories can be nested, and they power the category filter and the folders layout. Tags, under Documents → Document Tags, give visitors a second way to filter — by year, department or audience. See categories and tags.
Step 4: Put the library on a page
Free
Open the "Document Library" page FileDeck created, or edit any page and add the Document Library block. The block previews your library live while you choose a layout, columns and category. If you prefer shortcodes, paste this into a Shortcode block:

Step 5: Check search, filters and defaults
Free
Search, filters and sorting come with the library, with no setup. Search filters as visitors type, matching titles, reference numbers, excerpts, categories, tags and filenames (a document with no excerpt is matched on the opening words of its description). Category and tag filters are multi-select and show a count beside each option, and table column headers sort on click. See instant search, sorting and filters.
Up to about 500 documents, the search index is delivered with the page, so results appear without a round trip to the server. Larger libraries switch to server-side search and paging automatically. Set site-wide defaults — layout, columns, documents per page and pagination style — under Documents → Settings → Display.
Step 6 (optional): Search inside files and restrict access

- Search inside documents. Build the index under Documents → Settings → Search Index, and search also covers the text inside PDFs, Office and OpenDocument files, and text files — extracted on your own server. Scanned PDFs need OCR first. See content search.

FAQ
Does WordPress have a built-in document library?
No. WordPress stores files in the Media Library, but it has no visitor-facing library with search, categories and filters. You either build a page of links by hand or use a document library plugin.
What is the best free document library plugin for WordPress?
It depends on what the free tier includes, so check three things: whether it caps the number of documents, which layouts it offers, and whether search is included. Can visitors search inside PDFs?
Only if the plugin indexes the text inside the files; WordPress’s own search doesn’t. In FileDeck this is Pro content search, which reads the text layer of PDFs and Office files on your own server. Scanned PDFs are images of pages, so they need OCR before their text can be searched.
How many documents can a WordPress document library hold?
