Set an expiry date on a document Pro

Set a date after which a FileDeck document is no longer available in the library or via its download link, and how to bring it back later.

FileDeck Pro can automatically expire a document on a date you choose. After that date the document is no longer available: it stops appearing in your libraries and its download link stops serving the file. Nothing is deleted — clear or extend the date and the document comes straight back.

How to set an expiry date

  1. Go to Documents → All Documents and open the document (or set the date while creating one under Add New).
  2. In the document’s settings panel, set the expiry date.
  3. Click Update.

What happens when a document expires

  • The document no longer appears in any library — table, grid, or folders, block or shortcode.
  • The download endpoint stops serving it, so previously shared download links stop working too.
  • The document and its file are not deleted. The document stays under Documents → All Documents and its file stays in place, so you can bring it back at any time.

By default, that is all that happens — the expired document stays published and is simply hidden from your libraries. If you would rather have it change status too, enable Move expired documents to draft automatically under Documents → Settings → Features, and expired documents are moved to draft instead.

When expiry is useful

  • Time-limited forms: enrollment or application forms that are only valid until a deadline.
  • Seasonal notices: schedules, programs, and announcements that should disappear after the event.
  • Dated pricing or offers: price lists and promotions valid through a fixed date.

Expiry removes a document for everyone on a date. To limit who can access a document rather than until when, use access control instead — the two work independently.

How to un-expire a document

  1. Open the document under Documents → All Documents.
  2. Clear the expiry date, or set a new date in the future.
  3. Click Update. The document reappears in your libraries and its download link works again — the same URL as before. (If you use the move-to-draft option and the document was drafted, publish it again too.)

FAQ

Is the file deleted when the document expires?

No. The document and its file are untouched; the document is simply no longer available to visitors.

What do visitors see after expiry?

The document disappears from the library, and its download link no longer serves the file.

Does expiry reset the download count?

No. The lifetime counter is kept, and counting resumes if you un-expire the document.

Can I expire a whole category at once?

Expiry is set per document. To retire a category on a date, set the same expiry date on each document in it.
