Search synonyms — teach the library your vocabulary Pro

Teach the library your organisation's shorthand so “PO” finds “purchase order” — one line per group of equivalent terms, and each search word stays required.

Updated August 29, 2026

Every organisation has its own shorthand. Someone searches "PO" and finds no results, because every document says "purchase order".

Set it under Documents → Settings → Search → Search synonyms. One group per line, members separated by commas:

PO, purchase order
T&C, terms and conditions
CV, resume, résumé

Searching for any member now finds documents containing any other. Groups are symmetric — you do not need to list it both ways round.

It widens a term, it does not loosen the search

Each word you type is still required. A synonym only widens what counts as satisfying it.

So with the groups above, searching PO template still means "a document matching (PO or purchase order) and matching template". It will not start returning every document that merely contains "order".

Multi-word synonyms

An entry with a space in it is matched as a phrase, so PO finds the exact phrase "purchase order" rather than any document containing "purchase" somewhere and "order" somewhere else.

Where it applies

Synonyms apply to the FileDeck search index — document titles and, on plans with content search, the text inside your files. They do not change WordPress’s own site search.
